A Weekly Office Cleaning Checklist You Can Hand to a Vendor

A written checklist does two things. First, it gives an incoming cleaning contractor a specific set of expectations rather than a vague brief like "keep the office clean." Second, it gives you a reference document for evaluating whether the work was done. For offices on the Lake Minnetonka corridor, the checklist below accounts for lakeshore-specific conditions like salt season and humidity.

Nightly (Each Cleaning Visit)

  • Entry mat vacuumed or shaken; November–March, dry-mop entry area before wet mopping
  • Entry glass wiped, both sides if exterior access permits
  • Lobby or reception area floor swept/vacuumed and mopped
  • Reception desk surface wiped
  • All workstation surfaces wiped (personal items not moved)
  • Phones wiped if handsets present
  • All hard floors swept and mopped with method appropriate to floor type
  • Carpet vacuumed in open areas and under desks where accessible
  • Conference room table and chairs wiped; chairs reset to standard arrangement
  • Whiteboard erased if marked
  • Breakroom counter and sink wiped and sanitized
  • Breakroom appliance exteriors wiped (microwave, coffee station, refrigerator front)
  • Breakroom table and chairs wiped
  • All restrooms: toilet, sink, mirror, partitions, and floor fully cleaned and sanitized
  • Soap and paper product levels checked; note if restocking needed
  • All trash and recycling emptied; liners replaced
  • Lights turned off and alarm set per procedure before exit

Weekly (One Visit Per Week)

  • Interior window surfaces wiped (conference room and reception priority)
  • Baseboards dusted
  • Horizontal surfaces dusted: shelves, window ledges, light fixtures within reach
  • Breakroom refrigerator exterior and handle wiped with disinfectant
  • Under-desk areas vacuumed (chairs moved as needed)
  • Entry mat laundered if included in scope, or condition noted

Monthly

  • Refrigerator interior cleaned (requires advance staff notice per scope protocol)
  • Light switch plates and outlet covers wiped
  • Door handles, push plates, and door frames wiped throughout
  • Ceiling vents and return air grilles dusted
  • Stairwell walls spot-wiped if applicable

Quarterly or As Needed

  • Carpet extraction in high-traffic lanes
  • Hard-floor interim scrubbing and burnishing
  • Full strip-and-refinish if floor condition warrants
  • Exterior window washing (separate contractor typically required)

How to Use This List With a Vendor

Give this list to a prospective cleaning contractor at the walkthrough and ask them to mark which items are included in the base quote, which are available as add-ons, and which they do not offer. Any contractor who is uncomfortable marking up a detailed checklist is telling you something about how they handle scope clarity generally. A well-run cleaning company will annotate the list, discuss any items they would approach differently for your specific floor types, and incorporate it into the written scope.
